How Can Veterans Obtain a Duplicate Service Certificate?

Answer By law4u team

A service certificate is a crucial document for military veterans as it serves as proof of their service in the armed forces. In case this certificate is lost, damaged, or destroyed, veterans have the right to obtain a duplicate service certificate. The process typically involves applying through the relevant military authorities and submitting necessary documents to verify the veteran’s service history.

Process for Obtaining a Duplicate Service Certificate

Report the Loss or Damage:

The first step in obtaining a duplicate service certificate is to report the loss, theft, or damage of the original certificate. Veterans must notify the nearest Regimental Center or the Record Office of their respective arm of the service (Army, Navy, Air Force) about the situation. This ensures the loss is documented and the process for obtaining a duplicate is initiated.

Filing an Application:

Veterans need to file a formal application for the duplicate service certificate. This application can usually be submitted to the Regimental Center or Record Office where the original service records are maintained. The application should include:

  • Full name and service number.
  • Rank and unit served.
  • Date of joining and discharge (if known).
  • A brief description of the circumstances under which the certificate was lost or damaged.

Required Documents:

Along with the application, veterans may need to submit certain documents, such as:

  • Copy of Identity Proof: A government-issued ID, such as an Aadhar card, passport, or voter ID.
  • Copy of Discharge Certificate: If available, a copy of the discharge certificate can help validate the veteran’s service details.
  • Affidavit or Police Report: In cases of loss or theft, veterans may be required to submit an affidavit or a police report describing the loss of the certificate.

Verification of Service Records:

The military authorities will verify the veteran’s service records, which are typically stored at the Record Office or Regimental Center. This verification process may take some time, as the authorities need to check the veteran’s service history, rank, and discharge details. If the veteran served in the Indian Army, Navy, or Air Force, their records will be available with the respective Record Office.

Issuance of Duplicate Certificate:

Once the application and documents are verified, the military authorities will process the request and issue a duplicate service certificate. This duplicate will carry the same details as the original certificate and will serve as legal proof of the veteran’s service. The time required for processing may vary depending on the service branch and the particular circumstances.

Receiving the Duplicate Certificate:

After the processing is complete, the veteran will either receive the duplicate service certificate by post or may be asked to collect it in person from the Regimental Center or Record Office. In some cases, veterans may need to pay a nominal fee for the issuance of the duplicate certificate.

Alternative Methods:

Veteran cells and online methods may also assist veterans in obtaining duplicate certificates:

  • Veteran Cells: Veterans can also approach veteran cells at regimental centers for assistance in obtaining a duplicate service certificate. These cells provide guidance and can help facilitate the application process.
  • Online Application (If Available): Some services may allow veterans to apply for duplicate certificates online, through the Ministry of Defence website or the respective armed forces portals.

Example

A retired Army veteran, who lost his service certificate during a move to a new city, can contact his Regimental Center. He will submit an application stating the circumstances of the loss, along with an affidavit. After verification of his records, the Regimental Center will process his request and issue a duplicate certificate. The veteran may be asked to pay a small fee for this service, and the certificate will be sent to him by post or available for pickup.
